There are many small helps and conveniences built into QBO that go unnoticed. Today, let’s just look at a variety of these and some small symbols on your screen you’ve probably never seen. What do those mean?
First, an improvement we’ve had for some time now. Let’s make sure everyone knows about it.
The small symbol in the upper left corner allows you to view the customer list in a split-view format. See below.
Now the list of customers shows along the left side of the window. The detail of the selected customer is in the right pane. This view is similar to that of the Customer Center in QuickBooks Desktop.
The symbol is still in the upper left portion of the window. It’s possible to switch back and forth between the two views.
From the small clock icon, it’s always been possible to see a list of the recent transactions entered into QBO. This list includes all transactions.
Did you know that you could view a list of say, recent invoices only?
This can be very useful. Did someone enter this invoice already? Did John remember to enter the invoices requested?
This works on other transaction windows as well.
Did you know that the Save and xxx button is a sticky setting?
Save and Send, Save and Close, Save and New. Whichever is used upon saving the invoice, that option is the one that will appear on this button the next time you create an invoice.
When creating an invoice for a customer for which billable items exist, the Billable Items Column is shown by default.
Sometimes you don’t need the list of billable items. Sometimes it’s in the way if you are working on a long description on the invoice as an example.
The arrow in the above screenshot points to the symbol that allows the QBO user to select whether or not that column should show. Make it disappear; you can always bring it back when needed.
A couple of days ago we looked at Bank Rules. It is possible to create bank rules on the fly. When editing banking transactions before accepting them into QBO, you can create a rule that QBO will follow for future transactions.
Edit the account QBO suggests. Click the link, Edit this setting. The callout appears to the right of the link. In it, select “create custom rule.”
